Managing People: The Everyone, Teachers, Families, and Students Tabs

Where every user in your studio lives, and how the people tabs work together.

Five dashboard tabs are dedicated to the people in your studio. Four of them are covered here; Admin accounts get their own article. (See: Adding and Managing Admin Accounts.)

Everyone

The master list: every user in your studio, regardless of type, with a link to each. When you know a name but not a role - a parent calls the front desk, a teacher mentions a student - Everyone is the fastest way to find them.

Teachers

Every teacher account, with links to each. From a teacher's account you can see who they are and what they're set up with. Remember two things about teachers:

  • Teachers receive their welcome email when they're assigned their first Quest - not when their account is created. You can add teachers early without triggering anything.

  • Quest assignment itself happens on the Quest tab, not here. (See: Assigning Quests to Teachers in the Quests & Curriculum collection.)

Families

Every family account. Families receive their welcome email - with a password setup link - when their student is first assigned a Quest by their teacher. Until that moment, a family account sits quietly with no family-facing activity.

Students

Every student in your studio. Each student connects to a family account (for the portal and progress emails) and appears on a teacher's roster (for lessons and Quest progress).

Who adds whom

A useful division of labor:

  • You (or your Admin) bring people into the system - teachers, admins, students, and families, typically imported from your studio management system.

  • Teachers add students to their own rosters and assign them Quests from the teacher dashboard.

This means the people tabs are mostly a setup-time and enrollment-change tool. Once your studio is running, the dashboard's action moves to Student Quests.

Draft note: add screenshots of each tab and document the manual add/edit flows for each user type.
