Staff Onboarding: Quests for Your Team
Assign quests to teachers and staff for new hire onboarding or curriculum verification - self-driven progress, proof requirements, and admin notifications.

Quests aren't just for students. Staff Onboarding lets you assign quests to your own team - with the staff member themselves as the subject of the quest. There are two big use cases:
New hire onboarding. Build a quest that walks a new teacher or front desk hire through every process at your studio - each task a step in becoming fully up to speed.
Curriculum verification. Have teachers document, with video proof, that they're delivering your curriculum the way you designed it. This works especially well for group classes, where consistency across teachers matters most.

Staff Onboarding is rolling out school by school. If you don't see Staff Onboarding in your account yet and you'd like it turned on, contact us.
How it differs from student quests
The structure is the same - levels, trackable items, proof requirements, text fields - but a few things change when the quest is about a staff member:
Skills are called tasks. Everywhere in Staff Onboarding, what a student quest calls a skill is called a task, and video requirements appear as "Proof of task completion required." Proof can be a photo or a video.
Progression is self-driven. There's no teacher marking things off. Only the assignee can start tasks, complete them, upload proof, and fill in text fields. Owners, admins, and managers can view everyone's progress, but the work belongs to the person doing the onboarding.
Admins are notified, not families. Progress emails go to the assignee plus a nominated onboarding recipient at your school. If no recipient has been nominated, they go to the account owner.
Creating an onboarding quest
From the Staff Onboarding page, click New Onboarding Quest. This opens the same Quest Editor you use for student quests - there's no separate onboarding editor. As with all quests, only the account owner can create them.
For each task you can set:
Task name - what the staff member needs to do
Description (optional) - instructions or context
Text field (optional) - a label for something the staff member types in as part of completing the task
Proof of task completion required - check this for tasks where you want a photo or video, not just a checkbox
Category - group tasks by type
Unlike student quests, onboarding quests start with no preset categories or text fields. Add your own with the + control in the editor and they'll be available across the quest.
Once the quest is built, publish it - only published onboarding quests can be assigned.
Assigning a quest to a staff member
Owners, admins, and managers can assign published onboarding quests from the Staff Onboarding page. Quests can be assigned to any teacher, admin, or manager at your school. A staff member can hold multiple onboarding quests, but the same quest can only be assigned to them once.
Working through a quest
Assigned staff see their quests under My Onboarding. From there they work through tasks:
Start a task.
Complete the work it describes - uploading a proof photo or video, or filling in the text field, where required.
Mark it complete. Tasks with proof or text requirements can't be completed until those requirements are met.
Levels complete as their tasks complete, and the quest completes when the last level does.
Progress notifications
Staff Onboarding uses the same email timing as student quests: after activity settles (about an hour of quiet by default), one combined summary email goes out covering everything that happened - tasks started, tasks completed, levels finished. That email goes to the assignee and to your school's nominated onboarding recipient. If no one has been nominated, it goes to the account owner. There's no settings page for choosing the recipient yet - contact us if you'd like to nominate someone.
Managing onboarding at a glance
The Staff Onboarding page gives owners, admins, and managers a full view:
Quest summaries show each onboarding quest with counts of who hasn't started, who's in progress, and who's finished.
Sort and filter the assignment list by staff member, by quest, or by last activity.
Unassign a quest from a staff member at any time.
One note on cleanup: an onboarding quest can't be deleted while it's still assigned to anyone - unassign it everywhere first.
Why onboard this way
A new teacher who onboards through a quest doesn't just learn your studio's procedures - they experience the system their students will use. By the time they teach their first lesson, they've been the student: they've seen what a quest looks like from the inside, what completing a task feels like, and why the progress moments matter. It's training and empathy-building in one.
It also makes onboarding consistent and self-serve. Every new hire gets the same sequence, works through it at their own pace, and nobody has to shepherd them through a checklist by hand - the progress emails keep you informed without meetings.
Ideas for onboarding quest content
Account setup and profile basics
A tour of the teacher dashboard (roster, assigning quests, starting skills)
The Blended Lesson Structure, practiced end to end - learn it, create with it, share it, show it off, celebrate it
Recording a practice performance video (so their first real one isn't their first ever)
Studio-specific policies: the front desk reward moment, family communication norms
